As Executive Assistant, you will provide senior level support to the CTO, together with coordination and administrative support to the technology team of approximately 50 staff, in a dynamic and fast paced environment. You will assume a wide range of responsibilities, all of which will require ingenuity, innovation, and integrity. The role would suit someone super-organised who enjoys working with a variety of people and taking the initiative.

what you’ll do
  • Complex diary management for the CTO and organisational support for the team
  • Arranging conference calls for internal and external meetings, booking meeting rooms and resources and greeting visitors to the Centre as required
  • Ensure meeting materials are provided in advance if necessary and occasionally taking notes at meetings
  • Initiation and organisation of team activities and coordination, including at times our wider network of key connections
  • Helping improve team processes, induction of new staff, tracking of six monthly reviews, timesheets
  • Booking travel services through our online platform, including trains, flights, hotels, transfers, visas and itineraries
  • Raising purchase orders, receiving invoices, liaising with Finance department to ensure the relevant processes are followed
  • Regular reconciliation of execs expenses
  • Work closely with other members of the EA team across the organisation and providing cover as required for other EA absences
what we’re looking for
  • Successful track record of relevant experience in a similar position: flawless execution of administrative activities, with high attention to detail and strong organisational skills. Background of working in a fast-moving technology environment would be ideal
  • Strong IT skills: good knowledge of Word, Excel, PowerPoint, email, calendar, finance and expenses systems, and able to learn new systems quickly. We use Google tools for email, calendars and shared documents
  • experience with G Suite an advantage
  • Excellent team player, able to establish and build strong relationships, offer suggestions and improvements to process, work effectively with all personalities
  • Calm and focused under pressure in difficult situations, with the ability to be flexible in response to the changing needs and priorities of the business
  • High quality interpersonal and written communication skills
